Reporting to the Senior Manager, Legal Operations, the Legal Billing and Operations Specialist will support legal operations initiatives, focusing on technology solutions to provide efficient, scalable, cost-effective legal billing and ensure effective vendor and outside counsel management, as well as knowledge management and other legal operations responsibilities as identified. The ideal candidate will be a problem solver with strong planning, communication, and collaboration skills. The person will be highly self-motivated, with the ability to handle multiple projects, and able to work with a diverse group of legal and non-legal personnel across the organization and at all levels.

This is an office flex position. The ideal candidate is willing to commute to one of the following locations on a weekly basis:

  • Denver, CO
  • Wilmington, DE
  • Greensboro, NC

How You Will Make a Difference:

  • Develop, implement and manage processes and procedures to govern the VF Legal Team’s effective use of its global eBilling system
  • Perform first-level invoice review to ensure compliance with Outside Counsel Billing Guidelines
  • Collaborate with the Legal Team to create and manage legal matters, including matter-specific budgets, timekeeper rates, firm evaluations and related documentation
  • Review, coordinate and process payment of legal invoices, including managing escalations and troubleshooting issues
  • Enforce billing guidelines with law firms and vendors while maintaining strong relationships and leveraging VF’s annual global legal spend; manage onboarding of law firms and other vendors assist with the negotiation of rates and alternative billing arrangements
  • Identify and execute on opportunities for savings and efficiencies
  • Create reports on budget and billing matters and communicate results to Legal Team and internal finance partners
  • Partner with Sr. Legal Operations Manager to develop and provide training to ensure strong user adoption of processes and billing systems
  • Partner with Sr. Legal Operations Manager to support department-wide budgeting and financial management activities, including managing purchase orders, accruals and forecasting and tracking legal spend against budget
  • Maintain inventory and manage contracts for technology resources, memberships and subscriptions
  • Develop internal resources and systems to help improve the overall function and efficiency of the legal department and assist with process guidelines and workflows as requested
  • Monitor the Legal Operations email inbox and be the primary point of contact to answer all inquiries
  • Tackle special projects, day-to-day operations and administrative needs and other duties as requested
  • Years of Related Professional Experience: 3-5 years
  • In-house experience with Legal eBilling, preferably Legal Tracker
  • Experience creating visual and data-driven reports using software such as SmartSheet, PowerPoint, Tableau and Power BI
  • Project management/systems implementation experience


Educational/ Position Requirements:

  • Bachelor’s degree or equivalent work experience
  • Ability to work quickly and accurately under pressure and time constraints
  • Demonstrated critical thinking and analytical skills are required; ability to apply systems knowledge to troubleshoot and analyze new issues is critical
  • Must be a self-starter, able to work independently with a proactive working style
  • Excellent verbal and written communication skills
  • Understanding of end-to-end invoice lifecycle (work in progress, invoice, accounts payable, accounts receivable)
  • Ability to work on multiple tasks under pressure and to manage and meet multiple deadlines
  • A team player and should have the willingness to learn and grow

Special Physical and/or Mental Requirements:

Travel by air and overnight, as required, approximately 10% of the time

Lifting and/or bending; lifting 10 pounds of weight
