Cooley is seeking an Associate Director of Legal Collaboration Services to join the IS Legal Service Delivery team.

Position summary: Cooley Information Services (IS) embraces a culture of customer service excellence and all members of the department are expected to move this agenda forward. To that end, the Associate Director of Legal Collaboration Services is expected to recognize that the Cooley Information Services department is a service organization first and foremost and will be evaluated on this requirement equal in importance to the technical or operational responsibilities outlined later in this document. 

The IS Legal Collaboration Services function helps the firm’s users collaborate more effectively and efficiently using the firm’s multi-purpose collaboration platforms and systems, within the rules and policies set by the firm’s Information Governance group. The Associate Director of Legal Collaboration Services will work closely with the Director of Legal Service Delivery to develop and oversee the roadmap for the adoption and use-case support of the firm’s multi-purpose collaboration platforms and systems. This includes technologies such as Microsoft Teams, SharePoint, Cooley Access, Diligent, Liquid Files, Lupl among others. Specific duties and responsibilities include, but are not limited to:

Position responsibilities:

  • Establish appropriate policies and best practices for the Legal Collaboration Services function, and oversee their proper documentation, in close collaboration with the Director of Legal Service Delivery. Revisiting and revising these policies and best practices as appropriate
  • Oversee the Legal Collaboration Services team on centralized and distributed projects
  • Assess and optimize the management of legal collaboration request intake, including those for Microsoft Teams, and other collaboration centered Microsoft 365 apps and features, Box, Cooley Access, Lupl, Diligent, and other multi-purpose collaboration systems. Creating and tracking success measures and metrics for adoption and optimal use
  • Oversee and direct the core activities driving product roadmap management for the firm’s multi-purpose collaboration platforms and systems
  • Oversee and direct the ongoing support strategy for the firm’s multi-purpose collaboration platforms and systems
  • Working closely with other leaders on the Legal Service Delivery, Practice Innovation and Practice Engagement teams to develop successful strategies for addressing user requests for bespoke technology solutions related to collaboration
  • Oversee and direct the relationship between the Legal Collaboration Services function and the Information Governance and Architecture & Security teams to drive compliant use of the firm’s multi-purpose collaboration platforms and systems.
  • Oversee and direct the implementation of programs to promote the continuous improvement of features and best practices for the firm’s multi-purpose collaboration platforms and systems, including user feedback and actionable data for leadership insight
  • Evaluate system reports and usage metrics for their appropriate use in the support and adoption strategies related to firm’s multi-purpose collaboration platforms and systems
  • Direct the appropriate use of actionable system data insights in Legal Collaboration Services team initiatives
  • Working closely with technical colleagues and subject matter experts in both professional staff and legal roles to develop strategic approaches related to the firm’s multi-purpose collaboration platforms and systems
  • Working with appropriate technical stakeholders to derive and drive appropriate infrastructure requirements, including approaches for storage strategies and allocation, and server/mobile/desktop deployment methodologies for the firm’s multi-purpose collaboration platforms and systems
  • In close collaboration with the Director of Legal Service Delivery, developing and overseeing appropriate onboarding and training programs for Legal Collaboration Services team, ensuring the group is receiving proper opportunities for career development and mentorship
  • Deliver appropriate data and reports related to team budget
  • Serve as direct supervisor and mentor to direct reports
  • Provide day-to-day supervision of direct reports, ensure compliance with assigned work hours and monitor for compliance with all firm and department policies. Manage staffing coverage, review and process time logs/time off requests
  • Support business professional development and continued educational opportunities
  • In collaboration with immediate supervisor and CN HR, participate in hiring, performance appraisals, counseling, termination and other employee lifecycle events
  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office 365 suite, iManage, Box and other firm applications
  • Ability to work extended and/or weekend hours, as required
  • Ability to travel, as required
  • 7+ years as a manager (preferably with a minimum of 1-year senior manager experience) in a directly related role (e.g., legal industry and law firm technology product experience), with proven ability to operate at a senior and independent level 
  • Experience with the implementation and support of related law firm enterprise technologies such as iManage, Box, Microsoft Teams, HighQ, SharePoint, and Diligent
  • Experience successfully developing and completing relevant initiatives under tight timelines, independently (with minimal oversight)

Preferred:

  • Bachelor’s Degree
  • Enterprise technology support/consulting experience
  • Prior experiencing managing vendor relationships
  • Supervisory management experience strongly preferred

The expected annual pay range for this position is $200,000 - $220,000. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
